# Records your state asks for, kept for you

Keeping records is part of running an agency. Rutledge does it as the work happens, so you are ready for a state exam or a claim of an error. [Try the platform](/try?for=commercialinsurance) to see it.

## Kept as long as your state requires
Each state's insurance rules say how long an agency must keep its records. Tell us the states you work in. Every record is kept at least that long, and longer if you choose. Applications, policies, certificates, money and notes are all kept the same way. Nothing is thrown out early, and nothing is lost when someone leaves.

## Who did what, and when
Each step shows who did it and when. You can see who checked an answer, who sent a submission and who issued a certificate. You can see who approved a payment from trust. If a client says you never offered higher limits, you can show the offer and the date you sent it.

## Every call and email, on file
Every call, text, email and meeting with a business is saved to its account as it happens. No one has to remember to file it. Calls are written out, so you can search what was said. When a question comes up a year later, the answer is already on file.

## A state exam in minutes
A state exam asks for files. Pick the accounts and the dates, and the records come out in one package with a receipt. You do not need to dig through email or old file boxes. An insurance exam is lighter than a securities exam, and this keeps it that way.

## AI that keeps no client data
Our AI tools help read papers and draft notes. The AI providers we use keep none of your clients' data. A person checks each fact before it is used. You choose who can see what. [See Security and control](/trust).

## Try it on the example
